Executive Assistant in Irvine California.  The ideal candidate is highly self-motivated, professional capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.  Must be able to work independently and proactively with little or no guidance.  Serves as primary point-of-contact for internal and external parties.


Executive Assistant Responsibilities Include:

  • Manage executives’ diaries and arrange  daily schedules (manage calendar, set up meetings, speaking engagements)
  • Provide travel support including making travel arrangements and preparing trip itineraries
  • Prepare expense reports (gathering receipts and submitting for reimbursement)
  • Point of contact between the executives‘ and company employees/clients and manage information flow
  • Uphold a strict level of confidentiality
  • Assist with on boarding/new hires
  • Responsible for managing all aspects of assigned meetings which includes planning, budgeting and execution
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Maintain respective executive organizational charts and email distribution groups
  • Screen and direct phone calls and distribute correspondence Create and revise PowerPoint presentations
  • Create and or assist with purchase orders, invoices and monthly credit card reconciliation
  • Assist with corporate events and sales training as needed or directed by manager/executive
  • Arrange team and customer dinners as needed
  • Devise and maintain office filing system



  • Minimum of 5+ years working experience as a executive assistant or senior executive assistant
  • Energetic self-starter, work individually on projects and as a supportive team member
  • Ability to prioritize and coordinate work to meet deadlines
  • Highly  focused and results-oriented
  • Exercise independent judgement when making decisions on matters of significance
  • Excellent MS Office knowledge and English proficiency
  • Outstanding organizational and time management skills
  • Aware of the latest office gadgets and applications
  • Excellent verbal and written communications skills
  • Outstanding customer service skills
  • Able to work overtime as needed
  • Minimum travel
  • High School degree
  • PA diploma or certification would be considered a plus
