Job Title: Expense Management – Travel and Expense Team Lead

Location: Manila, Philippines


Role Summary:

Reporting to the Global T&E Manager, the Travel and Expense Team Lead will be responsible for the active management of the T&E team supporting North America Region. This is a people manager role and will be responsible in managing the finance service delivery of the Travel and Expense Team.

Stakeholders of this role will include Global Finance Leaders, Procure to Pay team, Controllers, Tax, Treasury Team, Internal Audit, Card Program vendors, Travel services vendors and different business units needing the support from the end-to-end Expense Management Process.

The department can be very busy during year end and quarter end and therefore a calm approach is required together with the ability to prioritize workload to achieve maximum efficiency is an advantage. As such, good communication and organization skills are required.


Key Responsibilities:


In this role, the primary responsibilities will include (but are not limited to):

  • Supervise all expense accounts of multiple entities covering North America/Canada regions
  • Prepares month end accruals and reconciliations and work closely with GL Accounts team to support month and quarter end closing
  • Supervise resolutions and escalations regarding concerns related to Travel and Expense Processing
  • Accountable in delivering the agreed SLA and KPI’s for T&E Team
  • Manage escalations and collaboratively work with key stakeholders for follow through to resolution of the issues.
  • Perform root cause analysis of KPI related challenges and work within the team and with key stakeholders to drive KPI’s to green
  • Set cadence on the review of the KPI’s and follow through of agreed actions/plans
  • Work with Internal Audit team for SOX preparedness initiatives within the Process to pay team
  • Coordinate UAT testing for any system related changes including interfaces and support automation related initiatives
  • Work with all relevant departments to maintain correct corporate data and account history
  • Work with Procurement, HR, Site leaders and Controllers in ensuring that the T&E Policy are complied with and flag issues of non-enforcement of the policy
  • Identify and initiate process improvements
  • Coach team members on appropriate ways of working and contribute to team and organizational goals. Perform monthly one on ones with all direct reports
  • Work with other regional team lead within Accounts Payable team and T&E to ensure Global Process alignment and drive standardization
  • Work with MDM, IT and Business Intelligence and Analytics team on opportunities to automate and standardize the process and KPI reporting Globally
  • Prepare reports to be sent to Senior Leaders to show visibility on Travel and Expense claims and also flag inconsistencies and noncompliance.
  • Support on going initiatives for automation and process improvements
  • Perform other ad hoc projects as assigned


Qualifications/Skills Desired and Preferred:

  • Business Degree or equivalent experience preferred
  • At least 2+ years experience in leading a T&E team
  • Experience processing for multiple locations
  • Ability to intervene and direct a team to achieve team/organizational goals
  • Tool / application experience preferred: Microsoft Excel, Outlook, Word, Database Management, Tableau, Netsuite, Concur, Concur detect, and Kyriba
  • Previous Concur Administrator Role an advantage
  • Strong attention to detail with consistency and punctuality
  • Strong written and verbal communication skills with the ability to interact effectively with all departments and levels within the company
  • Strong customer service and analytical ability
  • Ability to handle a high-volume, deadline driven environment
  • Ability to work effectively with other team members
  • Ability to adapt to change
